Connect business apps and AI actions in one workflow
A Zap starts with an event in one app and carries information into subsequent actions. This makes Zapier useful for routing leads, updating records and coordinating work across services a team already uses. Paid multi-step workflows add more actions and webhooks. Forms collect inputs and Tables hold shared data, so an automation can include a small intake process rather than just a connection between two apps.
AI by Zapier adds analysis and connected tool use inside the workflow editor. Tool-capable tiers can query knowledge, browse the web or take app actions. Selected tools can pause for a person’s approval before they run; that control is configured individually and is not enabled by default. Zapier is moving standalone Agents into AI by Zapier, with no shutdown date announced. Some knowledge-source and chat-trigger features do not transfer directly.
The platform runs in the cloud and connected apps keep their own data-handling terms. Zapier’s policy automatically excludes Enterprise customer content from its model training and improvement; other customers can opt out. It prohibits subprocessors from training their own models on customer content. These policies do not mean workflow logs are absent or every connected app has the same retention settings.

Limitations
Tasks are not workflow runs: AI tiers, tool calls and MCP have different rates. Free allows unpublished Standard AI previews but not published AI by Zapier steps. Human approval needs per-tool configuration. Legacy Agents migration has feature gaps, and external model accounts can add separate costs.

Is Zapier free?
The Free platform plan includes 100 tasks per month and two-step Zaps. AI by Zapier Standard can be previewed in unpublished workflows, but publishing AI steps requires Professional, Team or Enterprise.

Can Zapier require approval before an AI action?
Yes. Enable approval for the selected tool in AI by Zapier. It then pauses before that tool runs; approval is off by default and does not automatically cover every tool.
Are Zapier Agents being discontinued?
Zapier is migrating Agents into AI by Zapier workflow steps, but has not announced a shutdown date. The new steps use Platform tasks and some legacy knowledge-source and chat-trigger capabilities differ.
